Is the HIPAA assessment really free? What is the catch?
There is no catch. The assessment is genuinely free with no obligation to become a client. We believe every healthcare practice in Brevard County should have an accurate picture of their HIPAA posture — regardless of whether they choose to work with us. If the findings show significant gaps and you want help, we will have that conversation. If your practice is in good shape, we will tell you honestly. The full written report is yours to keep either way.
What is the difference between antivirus and endpoint detection and response (EDR)?
A HIPAA checklist asks you questions about your policies — it is only as accurate as your self-knowledge. ActiFile actually scans your environment to identify where PHI lives on your devices, servers, and cloud storage, and assigns a dollar-value risk figure based on regulatory penalty schedules. The result is a data-driven picture of your actual compliance posture rather than a self-reported assessment of what you believe it to be. Most practices are surprised by how much PHI the scan finds in locations they did not expect.
Will the assessment disrupt our clinical operations?
No. The ActiFile agent runs quietly in the background — staff will not notice it and it does not interfere with your EHR, imaging software, or clinical applications. The intake call takes 15 to 20 minutes. The findings review takes 30 to 45 minutes. We schedule both around your practice hours. Most assessments complete within one to two weeks with no disruption to patient care.
We already have a BAA with our EHR vendor. Does that cover us?
No — a BAA with your EHR vendor covers only that relationship. It does not cover your IT provider, billing company, cloud backup vendor, email provider, or any other party with access to PHI. HIPAA requires a signed BAA with every business associate. Most practices have a BAA with their EHR vendor and nobody else. The assessment identifies every vendor relationship requiring a BAA and flags the ones that are missing.
