Common questions about backup and disaster recovery
What is the difference between RPO and RTO and why do they matter?
RPO is the maximum data you can afford to lose, measured in time — if your RPO is 4 hours, backup must run at least every 4 hours. RTO is how long you can be offline before the impact becomes unacceptable. Different workloads in the same business often have different requirements. We design backup and recovery around your actual objectives, not generic defaults.
Does Microsoft 365 back up our email and files automatically?
No. Microsoft’s retention policies are designed for compliance and eDiscovery, not disaster recovery. Accidental deletion, malicious deletion, and ransomware attacks reaching your M365 environment are not covered. We deploy independent third-party backup for Exchange, OneDrive, SharePoint, and Teams as standard. If your current setup does not include this, it is a gap that needs addressing.
What is Datto and why do you use it?
Datto uses image-based backup — capturing complete server snapshots at regular intervals. That enables instant virtualization (spinning up your server as a virtual machine within minutes of a failure) and ransomware detection (monitoring backup images for signs of encryption before the damage compounds). We use Datto for commercial clients because it is the right tool for fast, reliable recovery.
How often should backup be tested?
More often than most businesses test it — which is to say, more than never. An untested backup is a hope, not a plan. We run regular recovery tests on every BCDR system we manage — at minimum quarterly. A recovery test involves actually restoring data and verifying it is complete and usable. We document every test and share results in quarterly business reviews.
What is the difference between cloud backup and sync tools like OneDrive or Dropbox?
Sync tools synchronize files across devices in near-real-time — excellent for collaboration, but not backup. If you delete a file, the deletion syncs everywhere. If ransomware encrypts your files, encrypted versions overwrite the clean ones. True backup maintains independent versioned copies unaffected by what happens on your devices, restorable to a specific point in time. We deploy real backup alongside sync tools — not instead of them.
